This feature allows the fixing of unlinked or incorrectly linked sterilizer load receipts directly in Sonar. This feature is only available to admins, managers, or supervisors.
Please reach out to your Client Success Manager to implement this feature!
Search for the Sterilizer Log
Click the Logs Button
Note this button will only appear for users that have the user preference turned on (see below).
Select the Facility
Choose the facility you want to view logs for.
Select the Sterilizer
Pick the sterilizer from the dropdown list.
Set the Date Range
Choose the date range for the logs you want to review.
Layout
Left Side (Sonar Data)
Lists all sterilizer loads created in Sonar for the selected sterilizer and date range.
Shows the current status of each load as documented in Sonar.
Displays the load number for the selected sterilizer.
Indicates whether media, CI, or BI were documented for the load.
Lists the sterilizer parameter name recorded in Sonar
Right Side (Interface Data)
Lists all sterilizer receipts received through the interface.
Displays the cycle number, used to link the receipt to the corresponding load in Sonar.
Shows the parameter name recorded by the sterilizer machine.
Indicates whether the sterilizer cycle passed or failed based on the machine’s data.
Displays any error codes—hover over the triangle icon to view the full error message.
Click the paperclip icon to view the full sterilizer receipt.
The receipt provides details like the sterilizer number and the load it corresponds to.
Interpreting Row Colors
Green: Indicates a successful 1-to-1 match between the cycle number on the left (Sonar) and the right (interface).
White: Shows that a row is currently unlinked—either from the Sonar load (left) or the interface cycle number (right).
Red: Signals a failed load received from the interface. Once linked to a Sonar load, the corresponding row on the left will also display red.
How to Link or Change a Cycle Number
Locate the Load
On the left side, find the sterilizer load that either has no linked cycle or is linked incorrectly.
Find the Matching Receipt
On the right side, locate the correct cycle number from the interface:
Use the start date and time to help identify the correct match.
Click the paperclip icon under the Link column to view the actual receipt for more details.
Enter the Cycle Number
In the text box next to the load number on the left side, enter the correct cycle number from the interface.
Save Your Changes
Click Done to save and close the window.
How to Unlink a Cycle Number
Use this workflow if a load is linked to the wrong sterilizer cycle number and there is no cycle number to replace it with.
Locate the Load
On the left side, find the load number in Sonar that’s linked incorrectly.
Remove the Cycle Number
Delete the incorrect cycle number from the text box, leaving the field blank.
Confirm Unlinking
A popup will appear: “You are about to unlink the sterilizer load from its sterilizer log. Are you sure you want to do this?”
Click Yes to confirm and complete the unlinking process.
This will disassociate the incorrect sterilizer receipt, leaving the load with no attached cycle.
Linking a Failed Load
If a failed load from the sterilizer interface is linked to a load in Sonar, the load will automatically be marked as Failed, even if it is already in Released status. All items within the load will also be marked as Unsterile.
The user will receive a popup message explaining the action. They can choose to Confirm or Cancel. If Confirm is selected, the system records the details of the user who performed the action.
How to Enable Access to Sterilizer Log Linking
Access to the Sterilizer Logs button and the manual sterilizer log linking workflow is controlled by a user preference. To grant access, enable the preference for specific users or roles.
Go to Facility > Users or Facility > Roles
Click on the desired user or role
Navigate to the Prefs tab
Turn on the preference: “Can manually link sterilizer loads”
Once enabled, the user will see the Sterilizer Logs button and be able to use the manual linking workflow.
